Users

The Users interface allows adding more users to the Backoffice if necessary.

When navigating to the Users tab, the page will open up to a list of active users who have already been added to the Backoffice with the following information:

  • Name of the user

  • Username

  • Email address

  • Date of the last login

Adding a new user

Basic user information

  • Click on the ‘Add new user’ button on the upper right-hand side of the page

  • Enter the first name

  • Enter the last name

  • Add the email address

  • Add a username

  • Select the user’s language
    The Backoffice is available in English and Chinese.

  • Select the user’s timezone

  • Select the user’s country

  • Assign a user group
    One user can be a member of multiple groups. Read more about user groups here.

  • Mark the ‘Login enabled’ checkbox
    Please note that if you leave the checkbox empty, the new user won’t be able to log in to the Backoffice.

  • Enforce SSO login
    If you use the SSO module to authenticate Backoffice users, you can decide if you want to make login available through SSO only or by unchecking this option let customers access the Backoffice from the Antavo login page.
    The ‘Enforce SSO login’ checkbox is turned on by default meaning the user can log in through SSO only.

Roles

  • Assign a role to the new user
    Please keep in mind that the user will only have access to pages of the Backoffice once you’ve added a role. Learn how to create roles below.

Two-Factor Authentication

If the MFA module is enabled in your brand, you can enforce the multi-faction authentication process to be applied when the user logs into the Backoffice. Tick the checkbox to turn on this procedure.

Single Sign On (SSO)

The Single Sign On section is added to the interface if the SSO module is turned on, to define the ‘SSO Source' and 'SSO ID’ of the new user.

Enabling SSO will result in displaying one button when signing in (using the CUSTOMER_NAME SIGN_IN_PROVIDER template), instead of showing username and password fields.

Save the new user

Click the ‘Save’ button to save the new user and return to the full list of users, or click on the ‘Save and continue’ button to save the user and add another one right away.

Once a new user has been saved, they will receive an automated email with a link to set their password. As soon as the password has been set, they can log in to the Backoffice and access the pages based on their role in the Backoffice.

Banned users

When opening the Banned tab, you will see users who had locked themselves out of the system for 10 minutes after repeated unsuccessful login attempts.

Managing users

Edit a user

  • Navigate to the User list

  • Click the ‘Edit’ button of the user who you’d like to edit
    Use the search bar on the page to find users quickly.

  • Edit settings

  • Click ‘Save’

Unban a user

  • Navigate to the Banned tab

  • Click the ‘Unban' button of the user who you’d like to unban

You can force users to reset their password by clicking ‘Force password reset’.

Delete a user

Follow these steps to revoke a user’s access to the Backoffice.

  • Navigate to the User list

  • Click the ‘Edit’ button of the user who you’d like to delete

  • Click the ‘Disable’ button in the upper right corner of the user editor page

Once disabled, the user cannot be re-added, please contact the Antavo Service Desk if you need help with restoring a user account.
